1. Acceptance of terms
By using this website, submitting a booking, or attending a session, you agree to these Terms of Service and our Refund & Cancellation Policy. If you do not agree, please do not use the site or book a session.
2. What we provide
The Calm Cave Initiative offers professional therapy, counselling, corporate wellness, and consulting services. Sessions are held online via secure video or audio call. We are not a medical or psychiatric emergency service; if you are in immediate danger, please contact your local emergency services or crisis line.
3. Booking and appointments
- Bookings are confirmed once payment is received or, for certain corporate arrangements, once a signed agreement is in place.
- You must provide accurate contact information so we can reach you before and during your session.
- If you are under 18, you must have consent from a parent or guardian to book individual therapy, or be accompanied by a responsible adult where required by law.
4. Cancellations, reschedules, and refunds
Our cancellation and refund rules are set out in the Refund & Cancellation Policy. As a summary:
- More than 24 hours' notice: full refund or free reschedule.
- 2β24 hours' notice: 50% refund.
- Less than 2 hours' notice or no-show: no refund; the session counts as used.
5. Payments
All prices are shown on our pricing page and are payable in advance unless a separate corporate agreement has been agreed in writing. We use third-party payment providers and do not store your full card details. You are responsible for any taxes, currency conversion fees, or bank charges imposed by your payment method.
6. Confidentiality and privacy
What you share in a session is confidential within the limits of professional ethical and legal practice. We may only break confidentiality where there is a serious risk of harm to you or others, where child or vulnerable-person safeguarding is involved, or where we are required by law or court order. We collect only the personal information needed to provide our services; see how we use and protect it in our Privacy Policy (available on request).
7. Online sessions
Online sessions require a stable internet connection, a private space, and a working camera and microphone where video is requested. You are responsible for your own technology. If a session cannot proceed because of a problem on your side, the session is treated as delivered. If the problem is on our side, we will reschedule at no charge.
8. Client responsibilities
- Attend sessions sober and free from substances that would impair your ability to engage safely.
- Treat our practitioners and staff with respect. Abusive, threatening, or discriminatory behaviour may result in immediate termination of services without refund.
- Do not record sessions without explicit written consent.
- Use the information on this website for general understanding only; it does not replace professional advice tailored to your situation.
9. Professional limits and emergencies
Our practitioners are counsellors and psychologists, not medical doctors or emergency responders. If you are experiencing thoughts of harming yourself or others, or any other emergency, please contact your local emergency number or a crisis line immediately. We list some crisis resources for convenience, but we are not responsible for their availability or the actions of third-party services.
10. Website content and intellectual property
All text, images, logos, articles, and materials on this site are owned by or licensed to The Calm Cave Initiative. You may read and share links to our blog articles, but you may not copy, reproduce, republish, or commercially exploit our content without written permission.
11. Limitation of liability
To the fullest extent permitted by law, The Calm Cave Initiative is not liable for any indirect, incidental, special, or consequential damages arising from your use of the site or services, or from any inability to access the site. Our total liability for any claim relating to our services will not exceed the amount you paid for the specific session or package in question.
12. Changes to these terms
We may update these terms from time to time. The current version will always be posted on this page with its last-updated date. Continued use of the site after changes means you accept the updated terms.
13. Governing law
These terms are governed by the laws of South Africa. Any dispute will be resolved through good-faith negotiation or, if necessary, through the courts of South Africa.
